Position Title: Project Manager – Strategic Initiatives 1-year Full Time Contract

Reports To: CEO

POSITION SUMMARY:

The Project Manager is responsible for overseeing the planning, execution, and successful delivery of current strategic initiatives including Homelessness and Addiction Recovery Treatment (HART) Hub and Community Outreach and Wellness Response Team(s) in coordination with Executive Committee Stakeholders and core partners. This role involves managing all aspects of project life cycles, including defining project scope, creating detailed plans, coordinating resources, and leading cross-functional teams. The Project Manager ensures the project is completed on time, within budget, and to the highest quality standards, while also proactively identifying and managing risks. They act as the key liaison between stakeholders, providing regular updates and ensuring alignment with business objectives

KEY POSITION RESPONSIBILITIES AND DUTIES:

Project Planning and Execution:
• Develop and manage comprehensive project plans, including scope, timeline, budget, and resource allocation
• Define clear project goals, deliverables, and success criteria
• Ensure projects are executed in alignment with organizational objectives and stakeholders’ needs

Stakeholder Management:
• Collaborate with internal teams, leadership, and community partners to ensure project requirements are understood and met
• Regularly update stakeholders on project status, challenges, and milestones
• Serve as the primary point of contact for all project-led related inquiries

Team Leadership:
• Lead and motivate Operations Sub-committees, ensuring collaboration and timely completion of project tasks
• Foster a positive team environment, encourage continuous improvement, and resolve conflicts efficiently
• Delegate tasks effectively and monitor progress

Risk Management:
• Identify potential risks and obstacles early in the project lifecycle
• Develop and implement mitigation strategies to minimize project disruption
• Ensure compliance with relevant regulations and standards

Quality Control:
• Oversee quality assurance processes to ensure all deliverables meet high standards
• Ensures that indicators and metrics are developed to monitor quality initiatives
• Analyses trends and directs the development of remedies and improvements
• Perform post-project evaluations to identify successes and areas for improvement

Budget and Resource Management:
• Monitor project budgets and ensure cost-effective use of resources in conjunction with Senior Leaders and support staff
• Track and report on project expenditures and ensure projects are completed within budget constraints

Reporting and Documentation:
• Maintain detailed project documentation, including status reports, meeting notes, and action items
• Provide regular project status updates and presentations to the Executive Committee and key stakeholders

QUALIFICATIONS

Education/Certification
• Bachelor’s degree in Business, Management or Healthcare field from an accredited educational institution
• PMP (Project Management Professional) certification or equivalent considered an asset
• Minimum of 3-5 years of project management experience, ideally in healthcare, or innovation-driven environments
• Proven track record of successfully managing complex projects from initiation to completion
• Strong knowledge of project management methodologies
• Excellent communication, interpersonal, and leadership skills
• Ability to work effectively with diverse teams and manage multiple priorities in a fast-paced environment

Skill Requirements
• Proven ability to apply leadership skills, strong analytical and problem-solving skills to effectively meet position requirements
• Ability to determine work priorities, and schedules multiple tasks, always ensuring core duties are addressed first
• Ability to establish and maintain effective working relationships with community partners, general public, contractors, clients and staff
• Excellent communication skills – listens well, approaches problems calmly and asks questions to understand the issue prior to acting
• Able to remain calm in high pressure situations and provide clear direction to reporting staff
• Takes a strategic approach to problems, always considering the implication of decisions on agency goals
• Conflict resolution skills when faced with conflict between team members or disagreements with service or operational decisions
• Competence working with Excel, Word, and PowerPoint and the full functions of Outlook

Integrity and Ethics
• Deals with others in a straightforward, honest and respectful manner
• Is accountable for own actions
• Models ethical behaviour for reporting staff
• Maintains privacy and confidential of client information, agency information, personal information about reporting staff etc.
• Supports and models Agency values
• Conveys bad news in an honest and support manner

Accountability
• Broadly defined independence. Financial plan and budget are established through a collaborative effort with the Senior Leadership team. Work is performed with considerable independent judgement within approved agency policies and procedures
• The incumbent ensures the project is delivered within budget

Working Conditions
May be in a standard office environment with exposure to irritants such as: background noise, telephone sounds, and equipment noise. Occasional use of standard office equipment requiring co-ordination and some skill. May involve sitting or standing without choice over moderate time periods. Frequent concentration and listening skills are required associated with working with people, interacting with clients, and the public.
